Overview
Auto Import is a feature that allows Pacejet to search NetSuite for Item Fulfillments that have not been imported, and import them automatically for you. The following document will describe the feature, how to use it, and setup procedures in NetSuite.
What is Auto Import
There are multiple options for importing an order into Pacejet. From the Item Fulfillment, the user can Stage, Ship, or Instant Ship. Each of these methods will require a few seconds for the import process to complete. The Auto Import feature however allows the user to Stage orders in Pacejet automatically, without further interaction. By placing a new checkbox on the Item Fulfillment, called Auto Import, the user is indicating that the shipment is ready for Pacejet. Once the fulfillment is saved, Pacejet will determine that it is ready for import, and import it automatically. This allows the sales staff to continue focusing on entering orders, and the shipping staff to process the shipments when needed.
Behind the scenes, Pacejet is searching NetSuite every 1-2 minutes for Item Fulfillments that have not been imported into Pacejet. Once an Item Fulfillment is found, Pacejet will verify that the Auto Import checkbox is checked, and that the Status is either Picked or Packed. If those conditions are met, then the Fulfillment will be staged on the Shipping Workbench in Pacejet. Once all of the fulfillments have been processed, the searching continues.
How to use Auto Import
When an Item Fulfillment is created, a new checkbox called “Auto Import” is now present. The user will have the option of either having the checkbox checked or unchecked for now. If the checkbox is checked, the Item Fulfillment will import shortly after saving. If the user leaves the checkbox unchecked, they will be able to edit the Item Fulfillment at a later time. This will allow some time to perform some other tasks, such as confirming the ship-to address. When the Item Fulfillment is ready to be imported, the user will edit the Item Fulfillment, check the checkbox and save.
Use Case: Check Auto Import during Item Fulfillment creation.
When an Item Fulfillment is created, the Auto Import checkbox is checked, and saved.
Within a few minutes, the shipment is now on the Shipping Workbench.
Use Case: Check Auto Import after the Item Fulfillment is created.
When an Item Fulfillment is created, the Auto Import checkbox was not checked. This would allow the customer service representative some time to perform some other tasks, such as verifying the shipping address.
When the Item Fulfillment is ready for shipping, the auto import checkbox is checked.
Within a few minutes, the shipment is now on the Shipping Workbench.
Use Case: Auto Import is checked, but an invalid shipping address has been entered.
While the Item Fulfillment was created, the Auto Import was checked, but the shipping address was inadvertently left blank.
Fortunately, the customer service representative found the error and corrected it.
Behind the scenes, Pacejet found the Item Fulfillment and determined it met the criteria to import automatically. The automatic import process was started, but the missing shipping address was detected which caused the import to become aborted.
If an error is detected, Pacejet will attempt to import the shipment seven more times. This allows the user to make a correction within a few minutes, and still have the shipment imported automatically. Fortunately this oversight was caught in time, and within a few minutes, the shipment is now on the Shipping Workbench.
The Status of the Item Fulfillment must be either Picked or Packed for the Auto Import to function.
How to Setup Auto Import in NetSuite
For the NetSuite setup, go to Setup->Customization->Script Deployments in NetSuite. This will load a list of current scripts that have been deployed.
Find the script, customdeploy_pacejet_itemfulfillment, and click the Edit link.
To view/alter the settings, click on the Parameters tab.
To enable the Auto Import functionality, check the Auto Import Enabled checkbox. This will display the Auto Import checkbox on the Item Fulfillments and allow the auto-import process to function.
To set the default value for the Auto Import checkbox on the Item Fulfillment, set the Auto Import Default Setting checkbox on the Parameters tab. Now when an Item Fulfillment is created, the checkbox for Auto Import will have the same value as the Auto Import Default Setting checkbox.
This only sets the default value. The user can uncheck/check the checkbox at any time.
For the screenshot below, Auto Import functionality has been enabled, and Auto Import is checked by default on the Item Fulfillment.
Next Steps
For the Auto Import feature to function there will be some setup work that needs to be performed by Pacejet personnel. To schedule this work, please contact Descartes Customer Support.
