Using NetSuite Vendor Return Shipping with Pacejet

This article explains how Descartes Pacejet integrated shipping supports NetSuite Vendor Return Authorization transactions by using standard NetSuite Item Shipment records and the standard Pacejet shipping workflow. Warehouse teams can process return shipments to vendors with the same rating, packing, label printing and tracking steps they already use for outbound shipments.

Overview

Vendor Return Authorizations in NetSuite are commonly used when inventory needs to be returned to suppliers, manufacturers or distributors. After a Vendor Return Authorization is approved, NetSuite creates a standard Item Shipment transaction. You can process that shipment through Pacejet with the same shipping workflow used for standard outbound orders, so there is no separate return shipping transaction type to configure.

The workflow described in this article:

  • Uses standard NetSuite Vendor Return Authorization functionality

  • Creates standard NetSuite Item Shipment transactions

  • Uses standard Pacejet integrated shipping workflows

  • Supports carrier rating, label printing, tracking, and freight updates

  • Lets warehouse teams follow the same shipping process they already know

Vendor Return Shipment Workflow

Use the standard NetSuite return flow to create and approve the return, then open the Item Shipment in Pacejet for shipping. The sections below walk through each part of that process.

Create a Vendor Return Authorization

Create a new Vendor Return Authorization (VRA) in NetSuite, then select the vendor, warehouse location, and items being returned.
After you review the transaction, click Approve.

Create an Item Shipment From the Approved Vendor Return Authorization

After the return is approved, click Return on the Vendor Return Authorization.
NetSuite creates a new Item Shipment transaction for the shipment.

Review and Save the Item Shipment

Review the new Item Shipment record and make any needed edits before you click Save.
After you save the record, NetSuite returns you to the Vendor Return Authorization.

Locate the New Item Shipment

You can find the new Item Shipment in the History tab of the Vendor Return Authorization.
Open the Item Shipment record to continue the shipping process.

Review Shipment Details Before Shipping

The Item Shipment behaves much like a standard outbound shipment. The vendor becomes the Ship To address, and the warehouse location becomes the Ship From location that Pacejet uses for the shipment.

Process the Shipment Using Pacejet

Click Ship to open the standard Pacejet shipping workflow.
From there, you can rate the shipment, pack it, print labels and complete shipment processing as usual.

Shipment Updates Returned to NetSuite

After shipment processing is complete, Pacejet updates the Item Shipment with tracking numbers, freight costs, package details and other shipment information.

Additional Shipment Update Details

Standard shipment information is written back to the Item Shipment transaction. Some fields or statuses may vary based on the NetSuite form configuration in your environment.

Blank Warehouse Locations

If the warehouse location is blank on the Vendor Return Authorization, the Item Shipment lines will also be blank. Multiple warehouse locations on a single Vendor Return Authorization can also cause issues because the resulting Item Shipment supports only one shipping origin.

Warning: Leave a warehouse location on each Vendor Return Authorization line. If the location is blank, or if multiple warehouse locations are used on the same return, the resulting Item Shipment may not have the correct shipping origin.

Additional Notes

Vendor return shipments follow the same core shipping process as standard outbound shipments. That makes them easier to support because there is no separate Pacejet-specific process for this transaction type.

  • No special Pacejet shipping process is required for vendor return shipments

  • Vendor return shipments use the same carrier integrations as standard outbound shipments

  • The Ship From facility in Pacejet is determined by the warehouse location on the Vendor Return Authorization line

  • Auto Stage behavior can vary based on customer-specific NetSuite and Pacejet configuration

Summary

Descartes Pacejet integrated shipping supports NetSuite Vendor Return Authorization transactions through standard Item Shipment records and standard shipping workflows. This lets customers process return shipments to vendors with their existing carrier integrations, packing workflows, labels and tracking updates, without custom development.
