Pacejet

Bulk Import / Export Tool

Overview: Bulk Import/Export Tool

The Pacejet Bulk Import Export tool provides useful features to automate common setup tasks as you implement Pacejet for the first time, or as you activate new features in the future. Using the Bulk Import / Export tool, administrators can easily export, update, and import Classifications, Commodities, Packages, Products, and many other types of common data.

Regardless of where you get the data that you enter into Pacejet (an ERP, spreadsheets, etc.), the Import/Export tool can save you the hassle of entering each item individually.

You can find the types of content you can Import and export in the Lists menu (at the top of the Pacejet screen). See the image below.

Basics of Bulk Import / Export with Data Maps

A core feature of the Bulk Import Export utility is a data map creation utility to drag and drop fields into a file format, save the format under a name, and then use this data map to export or import various types of Pacejet data. Flexible data maps allow the Pacejet import and export process to adapt to file formats produced or consumed by other systems, whether imports are one-time or recurring. Users have fine-grained control over the specific data fields and ordering of fields in file formats.

File Format

Please note that the import tool can only use .CSV (comma separated value) files for importing.
No other file format will be accepted.

Navigating the Import/Export Feature

You can find the Import features under the Tools menu (see image below). Here, you'll find all major features of the Import/Export tool.

If you do not see an option for Bulk Import / Export, contact Pacejet Customer Care to have the license enabled for Bulk Import / Export.

  • Bulk Import provides a way to enter List data into Pacejet without entering each item individually.

  • Bulk Export enables you do extract List data from Pacejet so you can use it for other business purposes.

  • Bulk Import Configuration enables you to create relationships between your spreadsheet and the List data inside Pacejet, giving you the flexibility of adding data from many different sources.

Templates

Templates can spare you the effort of manually setting up your imports and exports and can also help you maintain the accuracy and consistency of your data.

Bulk Import/Export Template Rule

To take advantage of the Import/Export tool, you must install Bulk Import / Export Templates using the Pacejet rule: Create Bulk Import/Export Templates. Once installed, the templates appear on the Bulk Import, Bulk Export, and Bulk Import Configuration screens.

Refer to RULES Overview for the steps to install the Create Bulk Import/Export Template.

Creating an Import Template

The best way to create an import template is to use Pacejet's Bulk Export tool. This allows you to create a pre-formatted .CSV file, and then import data using that template. The fields will be in the correct order.

  1. Follow the steps below for Exporting Data with the Bulk Import/Export Tool.

  2. Open the .CSV file you downloaded, and remove the data, but keep the headings (these are the field names).
The fields that have asterisks (*) are the required fields.
    csv_file.png

  3. Save this file as .CSV file.
For more information on working with .CSV files, refer to How to Open .csv Files Without Altering Data.

Data Validation Tool

The validation tool reads through all of the data that has been prepared for importing and identifies specific types of invalid data, specifying the data's row and column and cause of error. One error message, for example, is: "Required Field [Field Name] Empty."

Using the Validation Tool

  1. From the Bulk Import screen, select the item you plan to import.

  2. Click the Validate Selected button. validate_button.png

Notes:

  • The validation button only appears if the available validation(s) are selected.
Currently, the validations are available for the following:

    • Commodities

    • Containers

    • Classifications
Additional options will be available in future releases.

  • When the validation is complete, Pacejet displays one of the following messages:

    • Validation Failed: indicating that errors/warnings were found. A download icon will be available to download and review the validation process output.

    • Validation OK: indicating that no errors/warnings were found. No download icon is displayed.

Validation File

The validation file is in a .CSV format and can be opened using Excel or other spreadsheets.

The .CSV file name is as follows:

BulkExport_[Endpoint] Validation_[Location/Company Name]_[YYYMMDD]_[UNIQUI ID].CSV

Example:

BulkExport_Commodity Validation_ABCcorp_20210726_022016871363.CSV

Columns included in the Validation .CSV file as are follows:

Status

Error/Warning

Message

Error message. For example, "Invalid Character in Description"

Column Value

Value found in reported field

Row

Row number containing the error
Note: Header is Row 1

Date/Time

Date and time of validation

User

Requestor of validation

Importing Data with the Bulk Import/Export Tool

Once you install the Bulk Import/Export template rule and make any needed changes to the configuration mapping, you can import your data using the Import tool.

Data Import

There are two steps to using imports:

  1. Configuring the import (below)

  2. Importing the data (below)

Configuring Imports

The first step in using the import templates is configuring your data so the fields in your .CSV file are paired with the corresponding fields in Pacejet. Once this step is configured, you can use this relationship multiple times for importing data.

Follow the steps below to configure the map before the import.

  1. From the Tools menu, click Bulk Import/Export, and then click Bulk Import Configuration.
The Bulk Import Mapping for Carrier Class of Service screen appears.

  2. In the Edit/View Map column, click the edit_view_map.png icon next to the map you plan to configure.

  3. Drag and drop any items from the Bulk Import List on the left into Bulk Import Database Columns on the right.

  4. Click Save.
IMPORTANT! When making changes to the configuration, remember to drag the fields from your .CSV files to matching fields in Pacejet. An improper configuration can affect future shipments.

See below for information about the New Row on Change checkbox.

Column

Indicator

Definition

New Row on Change

Checkbox

When any field with a check mark in the New Row on Change field contains a different value, the New Row on Change checkbox indicates a new row (also called a record). In that new row, all other values from the prior row will be copied.

New Row on Change

No Checkbox

If a new value appears in a field that does NOT have a New Row on Change checkbox, then changes will be copied into the existing row (and a new row will not be created).

Importing Data

Pacejet provides templates with preset Import Maps to save you time when importing data. Follow the steps below to import data.

When you select a Map Name (see directions below), you are selecting the configuration mapping you created abo

  1. From the Bulk Import screen, click the add.png icon.
The New Bulk Import screen appears.

      1. In the Import Map Name drop-down list, select the map you plan to use. (refer to Adding vs. Updating, below).

      2. Enter the Import Name, and optionally provide a description.

      3. To upload a .CSV file, click in the box or drag and drop a file in the box.

      4. Click Save.

  2. Click the checkbox by the template you plan to import.
    bulk_import.png.

  3. Click the Validate validate.png icon to validate the data before the import. (For more information about the Data Validation Tool, refer to Data Validation Tool (below)).

  4. Click the Import Selected import_selected.png icon.

  5. Click Lists to view your list.

Adding vs. Updating

In addition to adding new lists, Pacejet provides predefined Import mappings that enable you to update existing lists that will not duplicate list items that already exist.

  • Adding adds the entire list — even if there are duplicates.

  • Updating adds only the list items that are different from the existing items (even if they are only slightly different).

Check Your Data After Import

Once you've imported your data, it's important to verify that everything has imported correctly.

  1. Under the Lists menu, select the set of data you just imported.
    select_productv2.png

  2. Verify all fields in all tabs contain the right data.

Exporting Data with the Bulk Import/Export Tool

The Bulk Export tool helps you collect existing Pacejet data without having to cut-and-paste. And, once the export templates are configured, you can export data without having to configure the parameters manually each time you want to gather data. There are many parameters to define when creating exports, including the actual data and fields you want to export, and the API version.

Pacejet exports to .CSV file format (comma separated value). The .CSV file format is a flexible format that can be opened and imported with a number of spreadsheet and database applications.

Steps

  1. Click Tools

  2. Click Bulk Import/Export

  3. Click Bulk Export.
